How call tracking works in practice

No dialler to migrate to, no virtual number for buyers to distrust, no PBX project.

    Grant call and contact permission once

    On install, the Android app asks for the call and contacts permissions. That single grant is what lets caller ID appear at ring time and lets logs sync afterwards. Nothing else is required.

    The banner arrives before you answer

    An incoming number is matched against your pipeline. If it is a known lead, a banner drops with their name, project, budget, stage and the last note. If it is unknown, you get a one-tap "save as lead".

    The log writes itself

    Direction, duration and outcome sync to the lead within seconds of the call ending. Missed and rejected calls are logged too — a missed call from a hot lead is the most actionable event in the system.

    The next action is created, not remembered

    A completed call prompts a disposition and a follow-up date. Automations can fire the WhatsApp message, move the stage, or escalate to a manager if a hot lead has now been missed twice.

Why "who is this?" is an expensive two seconds

A broker running forty leads cannot hold them in their head. The phone rings with an unsaved number, they answer neutrally, and the buyer — who was told on Tuesday that a 3BHK in Tower A faces east and costs ₹1.85 crore all-in — has to explain themselves again. That is the moment confidence leaks out of the deal.

Caller ID removes it. The banner is on screen before the second ring, so the first sentence out of the broker's mouth is the buyer's name and the thing they last asked about. It sounds like a small thing. In practice it is the single feature brokers demo to each other, because the improvement is immediate and obvious on the first call of the day.

It matters most for the calls nobody plans for. Buyers ring back from a different number, at 9pm, from the car, having just seen a competitor's project. Whoever picks up is the one who has to be ready, and only the CRM knows the history.

Automatic call logging beats honest reporting

Manual call logging fails for a reason that has nothing to do with discipline: it asks a person to do administrative work immediately after the emotional work of a sales call, forty times a day. So logs get entered in a batch at 7pm, from memory, and the numbers a manager reviews on Monday are a reconstruction rather than a record.

Automatic sync makes the record match reality. Every dialled, received, missed and rejected call attaches to its lead with direction, duration and timestamp. Nobody is asked to remember, and nobody can quietly under-report a bad day. Managers stop asking "did you call him?" and start asking better questions, because the answer is already on screen.

The dashboard reflects it fast — a completed call appears on the manager view within seconds, not at the end of a nightly batch. That speed is what makes a mid-day intervention possible on a deal that is going wrong.

Recording, and the disclosure the law requires first

Call recording is available where a team needs it for training or dispute resolution, and it is deliberately not casual. Recording in India carries a disclosure obligation, and the disclosure has to be given in a language the other party actually understands before recording begins — not buried in a terms page, not in English to a Marathi-speaking buyer.

SaudaFlow plays the disclosure in the language the workspace has chosen, before the first byte is captured. Recordings are stored encrypted in the Mumbai region, attached to the lead, and access to them writes an audit row. A workspace can turn recording off entirely and still keep full call logging, which is what most brokerages actually want.

The same honesty applies to the AI voice agent, which is a separate module: it announces that it is an AI and that the call is being recorded before anything else is said, and it never carries a human name.

The iPhone limit, stated plainly

Apple does not expose the call log to third-party applications, and there is no entitlement, no enterprise flag and no workaround that changes this. Any CRM claiming automatic call sync on iOS is either wrong or describing something else. We will not pretend otherwise, because a broker discovers the truth on day two.

What an iPhone user gets is genuinely useful: click-to-call from the lead card, CallKit integration so calls placed from the app are attributed, and a one-tap "I just called" that logs the call and prompts for disposition. What they do not get is ring-time caller ID for unsaved numbers and automatic background sync of calls made from the native dialler.

For most Indian real estate teams this is not a blocker, because field brokers overwhelmingly carry Android. The common shape is Android in the field with full capability, iPhone at the management level where reporting matters more than ring-time identification.

Frequently asked questions

Does caller ID work when the app is closed?

Yes, on Android. The identification runs as an OS-level service, so a killed app still names the lead on every ring. That is the difference between a feature brokers rely on and a feature they forget exists — nobody opens a CRM before answering a phone.

Why does call sync not work on iPhone?

Apple does not expose the call log to third-party apps, full stop. There is no permission a user can grant to change it. iPhone users get click-to-call, CallKit attribution for calls placed from the app, and a one-tap manual log with disposition. Automatic background sync and ring-time caller ID for unsaved numbers are Android-only, permanently.

Do I need a virtual number or a cloud telephony provider?

No. Calls run on your team's existing SIMs and their own numbers, which is what buyers pick up. There is no PBX to configure, no per-minute telephony bill for ordinary calls, and no masked number that makes a buyer suspicious. The only metered calling in SaudaFlow is the AI voice agent, which is priced separately and published.

Is call recording mandatory if we turn call tracking on?

No — they are independent. Most teams run full call logging with recording switched off. If you do enable recording, the compliant disclosure plays in your chosen language before capture begins, recordings are encrypted at rest in Mumbai, and every access to one is audited.
